Refund & Cancellation Policy

This Refund & Cancellation Policy explains how consultation scheduling, service cancellations, and refunds work for ClariCase's document preparation, business registration, and DTI assistance services, and applies to payments made through any payment gateway we use, including Xendit, HitPay, or another processor. It should be read together with our Terms of Service. This policy covers fees paid to ClariCase only — it does not cover fees paid directly to a lawyer we refer you to, which are governed by your separate agreement with that lawyer.
1. Free consultations
Your initial consultation is free and does not require payment. You may reschedule or cancel a booked consultation at no charge at any time before the scheduled time, using the confirmation link we send you or by contacting us directly.
2. Before work begins
After your free consultation, we provide a flat-fee quote covering the specific documents or registration support you need. No payment is due, and no fee is charged, until you review and approve that quote. If you decide not to move forward after receiving your quote, you owe nothing and no cancellation fee applies.
3. Once you approve a quote and pay
When you approve your quote and submit payment, we begin preparing your documents or registration paperwork. Because this work begins promptly and is based on the specific details of your situation:
- Cancellations requested before we begin substantive work (generally within 24 hours of payment) are eligible for a full refund, less any payment processing fee actually charged to us by our payment gateway for that transaction.
- Cancellations requested after substantive work has started are not eligible for a refund of fees already earned for work completed, though we will refund any clearly identifiable, unearned portion of a fee for work that has not yet begun, at our discretion.
- Once your documents or registration paperwork have been completed and delivered to you, fees are considered fully earned and are non-refundable, regardless of the outcome of your case, a court decision, whether a government office approves your application, or your decision not to file or submit the documents.
These terms reflect that our fee compensates the time and work of preparing case-specific documents or registration paperwork, not a guaranteed outcome.
4. Errors or service issues
If a document we prepared contains an error caused by ClariCase (for example, a clerical mistake or a document that does not reflect the information you provided), we will correct it at no additional charge. If we are unable to deliver the service you paid for, or made a billing error, please contact us and we will investigate and issue an appropriate refund or credit.
5. How refunds are issued
Approved refunds are issued to the original payment method through the payment gateway used for the transaction (such as Xendit or HitPay). Processing times for refunds to appear in your account depend on your bank, card issuer, or payment provider, and are generally outside of our control, but we will process our side of the refund promptly once approved.
6. Rescheduling ongoing work
If your court date, filing deadline, or circumstances change after you've paid, contact us as soon as possible — in many cases we can adjust the scope or timing of the documents or paperwork we're preparing at no additional cost. Significant changes to the scope of work may require a revised quote.
7. Lawyer referral fees
If your matter is referred to a lawyer in our network, any fees for that lawyer's advice or representation are separate from ClariCase's fees and are governed by your own agreement with that lawyer. Refund or cancellation requests for a referred lawyer's fees should be directed to that lawyer directly, not to ClariCase.
8. Chargebacks
We ask that you contact us first if you have any concern about a charge, so we can resolve it directly. Initiating a chargeback for services that have already been delivered, without first contacting us, may delay resolution and can affect your ability to receive completed documents or future service from us.
9. Your consumer rights
Nothing in this policy is intended to limit any refund or cancellation right you may have under applicable Philippine consumer protection law, including the Consumer Act of the Philippines, or under the rules of the payment gateway or card network used for your transaction. Where this policy and mandatory law conflict, the law that protects you will apply.
